Guidelines and Aide-Memoire to the REEP 'Health Check' The minimum commitment that is made by those who endorse and/or sign-up to the Wood-Sheppard Principles is to furnish an annual report to REEP. The highest level of involvement that REEP can offer is the accreditation process. Several employers have expressed interest in a level of REEP involvement between the two options described above and the 'health check' is a facility that may be appropriate for those employers. There is a material time commitment to carrying-out this process and so a charge is appropriate. Outline of process;
1. Preliminary meeting The ideal scenario is to arrange a date sufficiently in advance that all the key personnel may be interviewed on one day. The personnel to be interviewed need to be those responsible for the EOP, appointments, monitoring, training, discipline and any relevant strategies. It may not always be possible to the first choice of person for each of these areas of work on the same day but it should be possible to get representation given advance planning. Documents required in advance of the interviews need to be agreed. Different organisations have different documentation but the documents to be requested would typically include;
2. Letter This will state the timetable, fee and documents in advance required. 3. Meetings These will serve to obtain the bulk of the information required for the review. They will also enable clarification, where necessary, of points from the documents in advance. Each meeting will cover one or more of the WS Principles and there may be areas of overlap. Notes from the meetings should ideally be written-up within a few days. 4. Report This needs to set-out findings but with the caveat that a thorough scrutiny has not been carried-out. Areas where action has been taken or where it needs to be taken need to be related to each WS Principle. This work should take around 5 to 7 days depending on the complexity of the organisation and accessibility of the information.
